What you may and may not do with BMEssentia content, accounts and the community.

About This Policy
This Acceptable Use Policy ("AUP") defines how BMEssentia may and may not be used. It applies to every person and organization that accesses BMEssentia in any way, through the website (www.bmessentia.com), the Platform (platform.bmessentia.com), BMEssentia Medical City (Windows and Mac) or the BMEssentia App: individual subscribers, Medical City licence holders, tutors, institutional users, community members, and visitors.
This AUP is written in plain language. It is designed to be read and understood without a lawyer. It works alongside BMEssentia's Terms and Conditions and Privacy Policy, which together form the complete legal framework governing use of the platform. In the event of any conflict between this AUP and the Terms and Conditions, the Terms and Conditions prevail.
By accessing or using BMEssentia in any way, you agree to this Acceptable Use Policy.
SECTION 1: WHAT BMESSENTIA IS FOR
BMEssentia exists for one purpose: to train biomedical engineers to think, decide, and perform like professionals through structured, interconnected education. It is built for students who want to master the field, professionals who want to deepen their knowledge, and institutions that need to standardize and track BME education at scale.
The platform is authorized for the following uses:
- Accessing BMEssentia courses, device breakdowns, guides, illustrations, and practice questions for personal educational development
- Using the Learning Stack System to build focused 30-day specialization cycles
- Using the Essentia Assistant for learning support, concept explanation, and platform navigation
- Building and maintaining a professional portfolio within the platform
- Participating in the Private Global BME Community for professional discussion and peer connection
- Enrolling in tutoring cohorts to learn from verified specialist tutors
- Delivering tutoring cohorts as a verified and approved BMEssentia tutor
- Administering an institutional license on behalf of an organization that has executed a BMEssentia Institutional Licensing Contract
- Accessing BMEssentia as a licensed institutional user through your organization's institutional account
- Using BMEssentia Medical City (the 3D city, the Device Lab, simulations, challenges and story missions) on the computers your licence allows
Any use not described above requires BMEssentia's prior written approval.
SECTION 2: ACCOUNT CONDUCT: ALL USERS
These rules apply to every person with a BMEssentia account regardless of their user type.
You must:
- Provide accurate and truthful information when creating your account and at all times during your use of the platform
- Keep your login credentials confidential and not share them with any other person
- Notify BMEssentia immediately at team@bmessentia.net if you suspect unauthorized access to your account
- Use BMEssentia only for the purposes described in Section 1 of this Policy
- Comply with all applicable laws in your jurisdiction when using the platform
You must not:
- Create more than one account for yourself
- Share your account login credentials with any other person for any reason
- Allow any other person to access the platform using your account
- Transfer your account to another person
- Use another person's account with or without their permission
- Provide false, misleading, or fraudulent information at any point
- Impersonate any person, organization, or professional credential
- Create an account if you are under 18 years of age
- Access BMEssentia from a jurisdiction where doing so is prohibited by applicable law
SECTION 3: CONTENT CONDUCT: ALL USERS
These rules govern how you interact with BMEssentia's content and how you create or share content on the platform.
BMEssentia content: you must not:
- Copy, reproduce, download, screenshot, or screen-record any BMEssentia content for use outside the platform
- Distribute, share, publish, or transmit any BMEssentia content to any person who is not an authorized platform user
- Use any BMEssentia content for commercial purposes without explicit written permission from BMEssentia
- Use any BMEssentia content to build, train, or populate any competing product, service, or artificial intelligence system
- Remove or alter any copyright notice, trademark, watermark, or proprietary marking from any BMEssentia content
- Reproduce or adapt BMEssentia content: including device breakdowns, course materials, illustrations, or guides, in any external publication, website, or educational resource
Content you create or upload: you must not:
- Upload or share content that infringes the intellectual property rights of any third party
- Upload or share content that is defamatory, fraudulent, obscene, hateful, discriminatory, or promotes violence
- Upload or share content that harasses, threatens, or intimidates any person
- Upload or share content that contains personal information about another person without their consent
- Upload or share content that promotes illegal activity of any kind
- Upload malware, viruses, or any code designed to harm the platform or its users
SECTION 4: INTELLECTUAL PROPERTY AND PLATFORM INTEGRITY
BMEssentia's content, architecture, and systems represent years of development and are protected by provisional patents, copyright, and trademark. Respecting this intellectual property is a non-negotiable condition of using the platform.
You must not:
- Scrape, crawl, or systematically extract any content from the platform using any automated or manual method
- Use bots, scripts, automated tools, or AI agents to access the platform or extract its content
- Reverse engineer, decompile, disassemble, or attempt to derive the source code of any part of the platform
- Attempt to replicate, rebuild, or reverse-engineer BMEssentia's learning architecture, device breakdown system, or any other proprietary system
- Intercept, monitor, or capture platform data through any technical means not authorized by BMEssentia
- Access the platform for the purpose of competitive intelligence gathering, content benchmarking, or informing the development of a competing product
- Attempt to circumvent any technical protection measure, access control, or usage limit on the platform
- Interfere with or disrupt the platform's servers, networks, or functionality in any way
- Introduce malware, viruses, ransomware, or any harmful code to the platform
- Share, sell, lend or transfer a Medical City licence key or offline licence token, or run Medical City on more computers or for more people than your licence allows
- Modify, patch, crack or tamper with Medical City, its licence checks, offline tokens or telemetry, or use cheats, bots, macros or other automation to complete missions, challenges or assessments
- Extract, copy or redistribute Medical City 3D models, textures, audio, scenarios or any other game asset
- Forge, alter or misrepresent Medical City scores, certificates or certificate verification pages
SECTION 5: ACADEMIC AND PROFESSIONAL INTEGRITY
BMEssentia is built to teach genuine understanding. The platform exists to develop real knowledge and real capability in biomedical engineering, not to provide shortcuts that undermine the integrity of education or professional practice.
Academic dishonesty: you must not:
- Use any BMEssentia content: including Essentia Assistant responses, to complete, write, or produce academic assignments, coursework, essays, dissertations, or examinations that you submit as your own original work
- Use the Essentia Assistant to generate answers to graded academic questions and submit those answers as your own
- Share BMEssentia content or Essentia Assistant outputs with other students for the purpose of facilitating academic dishonesty
- Misrepresent completion of BMEssentia courses or modules as fulfilling formal academic requirements unless your institution has explicitly recognized them as such
Professional misrepresentation: you must not:
- Misrepresent BMEssentia certificates or course completions as formal professional licensure, clinical certification, or regulatory qualification
- Present Medical City simulation results, scores or certificates as evidence of competence to operate, maintain or repair real medical equipment or to care for real patients
- Use BMEssentia content as the sole basis for making clinical decisions, diagnosing patients, or performing procedures requiring professional qualification
- Claim professional credentials based on BMEssentia completion that you do not hold through a recognized accrediting body
- Represent BMEssentia's educational content as equivalent to accredited professional training without BMEssentia's written confirmation that such equivalence has been formally recognized
SECTION 6: ESSENTIA ASSISTANT (AI): ACCEPTABLE USE
The Essentia Assistant is an AI learning tool built for biomedical engineering. It must be used responsibly.
You may use the Essentia Assistant to:
- Ask questions about biomedical engineering concepts, devices, physics, and career topics
- Upload device diagrams, schematics, equations, and slides for explanation
- Get help navigating the BMEssentia platform
- Explore learning recommendations and study strategies
- Deepen your understanding of content you are studying on the platform
You must not use the Essentia Assistant to:
- Complete academic assignments, coursework, or examinations: see Section 5
- Systematically extract BMEssentia's proprietary content by asking the Assistant to reproduce course material, device breakdowns, or guide content in bulk
- Test, probe, or attempt to identify vulnerabilities in the platform through the Assistant
- Generate content designed to compete with or replicate BMEssentia's services
- Attempt to manipulate, jailbreak, or bypass the Assistant's operational guidelines
- Generate harmful, illegal, discriminatory, or unethical content of any kind
- Upload content that contains personal information of third parties without their consent
- Upload confidential clinical, patient, or institutional data
SECTION 7: COMMUNITY CONDUCT
The Private Global BME Community is an exclusive professional network for biomedical engineers, students, innovators, and MedTech professionals. The standard of conduct in the community reflects the standard of the field itself.
You must:
- Engage respectfully and professionally with all community members at all times
- Keep discussions relevant to biomedical engineering, MedTech, healthcare technology, and career development
- Represent your credentials and experience honestly
- Acknowledge uncertainty when you are not sure about something
- Report violations to BMEssentia at team@bmessentia.net
You must not:
- Post spam, unsolicited promotions, or advertising content of any kind
- Share illegal, harmful, discriminatory, offensive, or sexually explicit content
- Harass, bully, threaten, or intimidate any community member
- Share confidential or proprietary information belonging to your employer, institution, or any third party
- Solicit money, personal information, or business from other community members
- Impersonate any person or misrepresent your identity, qualifications, or institutional affiliation
- Share copyrighted material without authorization
- Recruit or direct community members to competing platforms or services
- Post content that promotes illegal activity or facilitates harm
- Share clinical patient information or any personally identifiable health data
SECTION 8: TUTOR CONDUCT
This section applies specifically to BMEssentia tutors. Tutors are verified specialists who represent the highest standard of expertise on the platform. The rules below are a summary of key conduct obligations. The full and binding obligations are set out in the BMEssentia Tutor Onboarding Contract signed by every tutor before activation.
Tutors must:
- Conduct all tutoring sessions exclusively through the BMEssentia Live Lecture Room
- Maintain all communication with enrolled students within the BMEssentia platform
- Deliver all 8 sessions of every cohort started on the scheduled day and time
- Respond to all student messages within 24 hours
- Maintain professional conduct and presentation in all sessions
- Teach content that accurately reflects their verified credentials and approved subjects
Tutors must not:
- Share personal contact details with any enrolled student
- Conduct paid tutoring sessions with BMEssentia students through any external channel
- Solicit BMEssentia students for paid services outside the platform, during engagement or for 12 months after
- Download, copy, or distribute session recordings outside the platform
- Teach Specialist Topic content that materially differs from materials submitted and approved by BMEssentia
- Complete or assist students in completing academic assignments, assessments, or examinations
- Misrepresent credentials, qualifications, or teaching experience at any stage
SECTION 9: INSTITUTIONAL USER CONDUCT
This section applies to institutions that have executed a BMEssentia Institutional Licensing Contract and to all users accessing BMEssentia through an institutional license. The full binding obligations are set out in the Institutional Licensing Contract. This section summarizes the key conduct requirements.
Institutions must:
- Maintain a designated administrator responsible for the institutional account for the full duration of the license
- Ensure all licensed users are current registered members of the contracting organization
- Notify BMEssentia within 14 days if the designated administrator changes
- Use BMEssentia only for the purposes defined in the Institutional Licensing Contract
- Obtain appropriate consent from their users for platform use and data collection in accordance with applicable local laws
Institutions must not:
- Allow seat sharing: one licensed seat may only be used by one individual
- Grant platform access to any person outside the contracting organization
- Resell, sublicense, or redistribute platform access to any third party
- Reproduce, distribute, or repurpose any BMEssentia content outside the platform
- Attempt to extract data beyond what is available in the institutional dashboard
- White-label, rebrand, or represent BMEssentia as the institution's own product
SECTION 10: SECURITY AND PLATFORM INTEGRITY
BMEssentia monitors platform access and usage patterns to detect and prevent unauthorized activity. All users must cooperate with platform security measures and must not attempt to circumvent them.
- Do not attempt to access any part of the platform you are not authorized to access
- Do not probe, test, or scan the platform for security vulnerabilities without explicit written authorization from BMEssentia
- Do not attempt to intercept, capture, or monitor platform data or network traffic
- Do not use the platform in a way that could damage, disable, overburden, or impair its functionality
- Do not share information about platform security vulnerabilities with any third party before reporting them to BMEssentia at team@bmessentia.net
If you discover a security vulnerability in the BMEssentia platform, report it immediately and confidentially to team@bmessentia.net. BMEssentia will investigate all responsible disclosures promptly. Do not exploit any vulnerability you discover.
SECTION 11: CONSEQUENCES OF VIOLATION
BMEssentia takes violations of this Policy seriously. The consequences depend on the nature and severity of the violation. BMEssentia reserves the right to determine the appropriate consequence in each case.

| Serious violation: IP theft, scraping, impersonation, competitor access | Immediate permanent account termination. No refund. Legal action may follow. |
| Zero-tolerance violation: fraud, harassment, academic dishonesty facilitation, platform attack | Immediate permanent termination. No refund. Referral to relevant authorities. Civil and criminal legal action pursued. |
| Institutional violation: seat sharing, content redistribution, unauthorized resale | Immediate license termination. No refund. Legal action for damages pursued under Institutional Licensing Contract. |
SECTION 12: REPORTING A VIOLATION
If you witness or become aware of a violation of this Acceptable Use Policy, report it to BMEssentia as follows:

- Intellectual property infringement: team@bmessentia.net with subject line "Copyright Infringement Report"
When reporting a violation, include a description of what you observed, the username or account involved where known, any screenshots or evidence you have, and the date and time of the incident. All reports are treated confidentially. BMEssentia will not disclose the identity of the person who made a report without their consent except where required by law.
BMEssentia aims to acknowledge all violation reports within 48 business hours and will communicate the outcome of its investigation to the reporting party where appropriate.
SECTION 13: RELATIONSHIP TO TERMS AND CONDITIONS
This Acceptable Use Policy is part of the legal framework governing your use of BMEssentia. It works alongside the following documents:
- Terms and Conditions: the full legally binding agreement governing your use of the platform
- Privacy Policy: how your personal data is collected, used, and protected
- Community Guidelines: detailed standards for participation in the Private Global BME Community
- Tutor Onboarding Contract: the binding agreement governing the tutor relationship
- Institutional Licensing Contract: the binding agreement governing institutional access
- Medical City Software Licence: the licence for installing and using the Medical City desktop application
- Refund Policy: refunds, cancellations and the EU/UK withdrawal right
In the event of any conflict between this AUP and the Terms and Conditions, the Terms and Conditions prevail. This AUP does not limit BMEssentia's rights under the Terms and Conditions or any other agreement.
SECTION 14: CHANGES TO THIS POLICY
BMEssentia may update this Acceptable Use Policy at any time. Material changes will be communicated by email to your registered address and by notice on the platform. The updated policy will state the new effective date. Your continued use of BMEssentia after changes are posted constitutes acceptance of the updated policy.
